At On This Planet, I work with individuals and organisations on executive search, leadership advisory and coaching.

This Privacy Notice explains how I collect, use and protect personal data in the course of that work.

  • candidates and prospective candidates

  • clients and prospective clients

  • coaching clients

  • business contacts and referrals

3. What data I collect

Depending on the context, I may collect:

  • name, email and phone number

  • company, role and professional background

  • CV, biography, employment history and education

  • LinkedIn profile and publicly available professional information

  • notes from conversations, interviews or coaching sessions

  • email and message correspondence

Please avoid sharing sensitive personal information unless it is strictly necessary and specifically requested.

4. How I collect your data

I collect personal data:

  • directly from you (email, LinkedIn, conversations, website contact form)

  • from publicly available sources such as LinkedIn

  • through referrals or introductions

  • during professional interactions (meetings, interviews, coaching sessions)

5. Why I use your data

I use personal data only where relevant to my work, including:

  • assessing profiles for current or future opportunities

  • identifying and contacting potential candidates

  • presenting candidate profiles to relevant clients

  • delivering executive search, advisory and coaching services

  • managing professional relationships and communication

  • handling contracts, invoicing and business administration

6. Legal basis

I process personal data primarily on the basis of legitimate interest, as part of my professional activity in executive search, advisory and coaching.

Where relevant, processing may also be based on:

  • steps prior to entering into a contract or performance of a contract

  • compliance with legal obligations

  • consent, where specifically required

7. Sharing your data

I may share personal data where appropriate, including:

  • with clients in the context of executive search or advisory work

  • with trusted service providers supporting my business (such as email, storage or scheduling tools)

  • where required by law or necessary to protect legal rights

As a principle, I do not share a candidate’s profile with a client without prior discussion and agreement with the candidate.

8. International work

I work globally and may interact with individuals and organisations outside Portugal and the European Economic Area.

Where data is shared internationally, I take reasonable steps to ensure it is handled appropriately and in line with applicable data protection standards.

9. Data retention

I keep personal data only for as long as it remains relevant to my work and professional relationships.

As a general approach:

  • candidate and professional contact data is typically retained for up to 24 months after the last meaningful interaction

  • client and coaching data may be retained for a longer period where there is an ongoing relationship, repeat collaboration, or where required for legal, contractual or professional record-keeping purposes

I review data periodically and may delete or anonymise it earlier where appropriate.

10. Your rights

You can at any time:

  • request access to your data

  • request correction or deletion

  • object to processing

  • request restriction of processing

11. Data security

I take appropriate steps to protect personal data from unauthorised access, loss or misuse.

However, no system can be guaranteed to be completely secure.
